Use Gmail's AI to Write Emails Faster

Tool:Gmail
AI Feature:Smart Compose + Help Me Write
Time:10 minutes to learn
Difficulty:Beginner

What This Does

Gmail has two built-in AI features most loan officers aren't using: Smart Compose (suggests text as you type) and Help Me Write (drafts complete emails from a short description). Together, these can cut your email writing time by 30–50%.

Before You Start

  • You use Gmail for your work email (gmail.com or Google Workspace)
  • You're logged in on desktop (these features are desktop-first; limited on mobile)
  • Smart Compose is available on all free Gmail accounts — Help Me Write requires Gemini subscription on personal Gmail, but may be included in Google Workspace for Business

Steps

1. Enable Smart Compose (Auto-Suggestions)

  1. Click the gear icon in the top-right of Gmail → See all settings
  2. In the General tab, scroll to Smart Compose
  3. Make sure it's set to Writing suggestions on
  4. Also enable Smart Compose personalization so it learns your writing style

2. Use Smart Compose While Writing

  1. Compose a new email as normal
  2. As you type, you'll see gray suggestion text appear after your cursor
  3. Press Tab to accept the suggestion, or keep typing to ignore it
  4. Most useful for: "Hi [Name], just wanted to follow up on...", "I wanted to let you know that your loan has been..."

3. Use Help Me Write for Longer Emails (Google Workspace)

  1. Click Compose to start a new email
  2. Click the pencil/AI icon in the compose toolbar (bottom left area)
  3. Type a brief description: "Status update: loan conditionally approved, borrower needs to provide last 2 months bank statements, closing on track for [date]"
  4. Click Create — Gmail drafts the full email
  5. Click Refine to make it shorter, more formal, or more casual as needed

4. Review and Send

  1. Always read the AI-generated email before sending
  2. Add personal touches if needed — your own name, specific details the AI missed
  3. Verify any dates, dollar amounts, or loan details are accurate

Real Example

Scenario: Borrower's appraisal came back, value confirmed, moving to underwriting

What you type: "Appraisal came back great, value confirmed at $485K, moving to underwriting now, expected 3–5 business days, what to expect next"

What you get: A complete 5-sentence email with professional opening, clear status update, timeline, and next steps — in about 10 seconds

Tips

  • Smart Compose works best once it has learned your patterns — after 2–3 weeks it feels much more natural
  • For status updates you send dozens of times (conditional approval, clear to close, closing scheduled), type the first sentence and let Smart Compose handle the rest
  • If you share Gmail with a processor or assistant, note that Help Me Write suggestions will reflect their writing style too — add your personal sign-off manually

Gmail's AI features update regularly. If Help Me Write isn't visible, look for a pencil icon, star icon, or "Gemini" label in the compose window toolbar.
