Use Zoom AI Companion to Summarize Client Calls

What This Does

Zoom AI Companion automatically generates a summary of your client calls, including key topics discussed, decisions made, and action items — saving you 15–20 minutes of manual note-taking per call. You copy the summary into your CRM in under 60 seconds.

Before You Start

  • You have a Zoom account (free or paid — AI Companion requires Zoom One Pro or higher; check if your employer has this)
  • You're logged into Zoom on desktop
  • Note: Your client will be notified that AI is summarizing the call

Steps

1. Enable AI Companion for Your Account

  1. Go to zoom.us and log in to your account settings
  2. Click Settings in the left sidebar
  3. Search for "AI Companion" in the settings search bar
  4. Toggle Meeting Summary with AI Companion to ON
  5. Also enable Smart Chapters and Action Items if available

2. Start Using It on Your Next Client Call

  1. Start your Zoom meeting as normal
  2. Once the call begins, click the AI Companion button in the bottom toolbar (looks like a sparkle or star icon)
  3. Click Start summary
  4. The AI silently records and processes in the background — your call proceeds normally

3. Review the Summary After the Call

  1. Within a few minutes of ending the call, you'll receive an email with the summary
  2. Also check your Zoom desktop app → AI Companion tab in the left sidebar
  3. The summary includes: key topics discussed, any next steps mentioned, and action items by person

4. Add to Your CRM

  1. Copy the relevant action items and summary
  2. Paste into your CRM (Encompass notes, Total Expert, Jungo, etc.) under the borrower's file
  3. Edit out anything personal or off-topic before saving

Real Example

Scenario: You have a 30-minute pre-qualification call with a first-time buyer couple

What Zoom captures: Property type discussed (single-family, $450K), timeline (3–4 months), credit concern mentioned (one spouse has a student loan in deferment), action items: you agreed to send rate comparison email, they agreed to pull their credit report

What you get: A 4–5 sentence summary you paste directly into the borrower's CRM note field — in 30 seconds instead of 10 minutes

Tips

  • Tell clients upfront: "I use Zoom's AI to take notes so I can focus on our conversation — you'll get a note that it's being summarized"
  • Use the action items section as your follow-up checklist for the day
  • If your employer doesn't have Zoom Pro, consider upgrading your personal account — at $15/month, one extra closed loan more than covers the cost for years
