Use Zoom Meeting Summary to Summarize Client Calls

What This Does
Zoom AI automatically generates a summary of your client calls, including key topics discussed, decisions made, and action items, saving you 15-20 minutes of manual note-taking per call. You copy the summary into your CRM in under 60 seconds.
Before You Start
- You have a Zoom account (meeting summary is included with eligible paid Zoom Workplace plans such as Pro or higher; check if your employer has this. Zoom also offers a free tier, ZoomMate Basic, capped at 3 hosted meetings per month)
- You're logged into Zoom on desktop
- Note: Your client will be notified that AI is summarizing the call
Steps
1. Turn On Meeting Summaries for Your Account
- Go to zoom.us and log in to your account settings
- Click Settings in the left sidebar
- Look for the meeting summary controls in the AI section (search "summary" if you don't see them)
- Turn on automatic meeting summaries
- Also enable Smart Chapters and Action Items if available
Zoom used to call these features "AI Companion" and dropped that name in 2026, so older help articles and colleagues may still use the old term.
2. Start Using It on Your Next Client Call
- Start your Zoom meeting as normal
- Once the call begins, hover over the AI icon in the bottom toolbar
- Select the Meeting summary checkbox, then click Start Zoom AI
- The AI silently records and processes in the background. your call proceeds normally
3. Review the Summary After the Call
- Within a few minutes of ending the call, you'll receive an email with the summary
- Also check your Zoom desktop app for the AI summaries section in the left sidebar
- The summary includes: key topics discussed, any next steps mentioned, and action items by person
4. Add to Your CRM
- Copy the relevant action items and summary
- Paste into your CRM (Encompass notes, Total Expert, Jungo, etc.) under the borrower's file
- Edit out anything personal or off-topic before saving
Real Example
Scenario: You have a 30-minute pre-qualification call with a first-time buyer couple
What Zoom captures: Property type discussed (single-family, $450K), timeline (3-4 months), credit concern mentioned (one spouse has a student loan in deferment), action items: you agreed to send rate comparison email, they agreed to pull their credit report
What you get: A 4-5 sentence summary you paste directly into the borrower's CRM note field. in 30 seconds instead of 10 minutes
Tips
- Tell clients upfront: "I use Zoom's AI to take notes so I can focus on our conversation. you'll get a note that it's being summarized"
- Use the action items section as your follow-up checklist for the day
- If your employer doesn't have Zoom Pro, consider upgrading your personal account. at $15/month, one extra closed loan more than covers the cost for years
